Unibuddy Ambassadors are the heart of your student engagement strategy. When trained and onboarded effectively, they can make meaningful connections with prospective students, represent your institution positively, and provide insights that help shape the student experience.
Here’s how to ensure your Ambassadors are set up for success.
1. Onboard Ambassadors with the Unibuddy App
The first step in training your Ambassadors is ensuring they have the correct tools. As part of onboarding, make sure they download the Unibuddy Ambassador App:
Note: This is separate from the Unibuddy App, which is only for prospective students and student users.
Encouraging your Ambassadors to use their dedicated app helps them:
Stay on top of conversations with prospects
Access and manage Content
Track Timesheets on the go
2. Provide Comprehensive Training

These resources ensure Ambassadors understand their responsibilities, communicate effectively, and represent your institution positively.
3. Invite Students and Staff to Become Ambassadors
Once you have recruited and trained your Ambassadors, you can add them as Buddies in your Dashboard. Here’s how to send invitations:
Log into your University Dashboard.
Select Buddies from the left-hand navigation panel.
Click on Invitations from the dropdown menu.
Choose either Student or Staff at the top of the page.
Add emails individually in the Email section or upload a CSV file with up to 20 addresses.
Click Add email.
Click Invite Student Buddies.
Your Ambassadors will receive an email inviting them to sign up and create their account.

Note - Admins can invite a student who already has a prospective student account to become an Ambassador using the same email address.
When the student accepts the Ambassador invite, they’ll be guided through converting their existing account. They’ll be asked to choose whether to:
Keep both accounts by changing the email on their prospective student account, or
Delete their prospective student account and continue with the Ambassador account
Once this process is complete, the student will be set up as an Ambassador as normal.
This makes it easy for students who previously used Unibuddy as prospects to move into an Ambassador role without needing a brand-new email address.
4. Continuous Support and Management
Even after onboarding, ongoing support helps Ambassadors stay engaged:
Host events for Ambassadors - training for updates and best practices, or social get-togethers to build community.
Regularly check in to provide feedback and answer questions.
Monitor conversations and Timesheets to ensure everything is going smoothly.
