Managing prospective students is easier when you can quickly find and act on the information you need.
Whether youâre an Admin looking for one person, creating a group for targeted follow-up or reviewing prospect information, managing a large list can involve several steps. Until now, this has often meant exporting a CSV, filtering it in a spreadsheet and then returning to the University Dashboard to take action.
We know that this creates additional work and interrupts the natural flow between identifying a prospect and deciding what to do next.
Thatâs why weâve rebuilt the Prospect Management table.
The improved experience brings live search, flexible filtering and bulk actions together in one place. It helps you find the right prospects more quickly, understand your data and take action on multiple records without repeatedly moving between Unibuddy and a spreadsheet.
Bringing prospect management into one place
The Prospect Management table is now a more flexible workspace for managing and acting on your prospect list.
Search and filter your prospects
Admins can now search for an individual prospect using their first name, last name or email address.
Search uses keyword matching, with results updating automatically as you type, making it easier to find the person you need without exporting a CSV or manually working through multiple pages of records
For more targeted prospect management, you can combine up to six filters. These are the fields available for filtering in this release:
Country
Area of study
Marketing consent
Status (Active, Blocked and Removed)
Lead source
Level of study
Search and filters can be used together, helping you narrow thousands of prospects down to the exact segment you need.
For example, you could filter your prospects by Country and Area of Study to identify prospective students interested in a particular subject. You could then refine those results further using marketing consent, lead source or status, depending on what your team is trying to achieve.
Your results and matching prospect count will update as you search and apply filters.
You can combine different filters, although each filter currently supports one value at a time.
Multi-select within an individual filter is not part of this release and may be considered in a future iteration.
Please note: The Prospect Management update changes how Admins search, filter and manage prospects; it does not add, remove or modify prospect data. The table currently includes prospects from Chat and Assistant. Community members are not included.
Choose what you see in the table
Select the column configurator icon, shown as three vertical lines in the top-right corner of the table. You can then select or clear the checkboxes to choose which columns are displayed. The available options include standard Unibuddy information and your institutionâs custom fields, helping you tailor the table to the information most relevant to your team.
You can also choose to display 10, 20, 50 or 100 prospects per page, making it easier to review and act on a larger number of records.
You can sort the table by Sign-up Date to change the order in which prospects are displayed.
Your column selections are saved, so the table will retain your chosen columns when you return to the page. Search, filters and page-size selections are not saved as a view.
Understanding Source and Sign-Up Location
These columns describe different parts of the prospectâs journey:
Source records the prospectâs original, first interaction with Unibuddy. This information can be retained if the prospect later engages with another university.
For example, a prospect may have Community as their Source because their first Unibuddy interaction took place through a Community, before they later engaged with your institution. A Source of Community therefore does not necessarily mean that the prospect is a member of your institutionâs Community.
Sign-Up Location provides information about where the subsequent sign-up took place. A Sign-Up Location of Unibuddy App can currently refer to either the Unibuddy student app or the Community website.
Take action on multiple prospects at once
Once you have narrowed your results using search and filters, select one or more prospects on the current page. You can then use Broadcast to Selected, Block or Unblock, depending on the records selected and their current status.
Select All applies only to the prospects displayed on the current page, not every matching prospect across all pages. You can display more prospects per page before making your selection.
Broadcast to Selected sends a message to the prospects you have selected. Messages will only be sent to selected prospects who have provided marketing consent.
To message all prospects who have provided marketing consent, use the separate Send broadcast option at the top of the page. This is not limited to the selected records or the current page.
The current CSV Export remains unchanged. The search, filters and record selection applied within the table are not carried over to the exported file, so any additional filtering must still be completed within the CSV.
Making everyday tasks quicker and easier
You might need to find an individual record during the day, or work with a larger group as part of your recruitment and engagement activity.
The improved table is designed to support both.
Find an individual prospect
Search by first name, last name, or email address to locate a specific prospect quickly, whether youâre responding to an enquiry or checking a prospectâs information.
Prepare more focused outreach
Use filters together to identify a particular audience, such as prospects from a specific country, those interested in a certain area of study or people who arrived through a particular lead source. This can help you understand who appears in a segment before deciding what action to take.
Review and manage prospect status
Use the Status filter to view Active, Blocked or Removed prospects. When a prospect is removed e.g they delete their account, or have been delinked from a particular institution, their personally identifiable information is removed, but non-personal metadata remains visible in the table.
The Status column replaces the previous use of greyed-out rows, making it easier to understand each prospectâs current status at a glance.
See which Unibuddy products generate your leads
Filter by Lead source, such as the Embedded University Widget or Unibuddy App, to focus on prospects generated through a particular Unibuddy product. This makes it easier to understand which parts of the platform are contributing to your prospect list.
More time for meaningful engagement
The improved Prospect Management table is ultimately about reducing the time and effort Admins spend managing prospect data.
By making it easier to search, filter and take action, you can spend less time preparing spreadsheets, navigating long lists and moving between different tools.
That gives you more time to understand your prospective students, follow up with the right people and help them make confident decisions about their future.
