Unibuddy 101: A Guide for New University Admins

If you are a university admin using Unibuddy for the first time, or in need of a refresher, this guide is for you!

This guide is intended to give you an overview of the fundamentals of using Unibuddy, and provide you with resources to further your knowledge and understanding of specific areas. We'll also let you know where you can go for more support.

So, let's get started!

πŸ“‹ Your admin account

If you're here, it's likely you're already set up as an admin on your University Dashboard! If not, a current admin can invite you through the Admin Users tab, or you can contact the Unibuddy Support team to be added.

Once you are set up as an admin, you can access your University Dashboard here. There is a 'Forgot your Password?' option, should you ever need this.

This training video explores your University Dashboard in more detail, if you haven't already, we'd recommend watching it to get up to speed. This video covers your Unibuddy Chat tabs and features - if you also have Community, I'd recommend watching this 5-min video, too.

πŸ“‡ Adding and managing ambassadors

The Buddies tab in your dashboard is where you can invite, deactivate, re-activate, edit and track your Ambassadors. Add new Ambassadors under Invitations, and find options to edit Ambassador profiles, de- or re-activate Ambassadors (if they are on their summer holidays, for example) or track messages and conversations under Manage.

πŸš₯ Adding traffic drivers

Traffic drivers - including popcards, buddy cards, carousels, and course buddy platforms - can be placed in high-traffic areas of your website to direct prospective students to your Chat platform, encouraging more conversations with your Ambassadors, and more sign-ups. You can find the code snippets for your web team to embed these in your University Dashboard, under Integrations > Code Snippets.

πŸ“Š Data and insights

Tracking engagement and impact across your Unibuddy platforms not only proves return on investment, but helps inform and shape your conversion efforts based on key indictors like student behaviour and confidence in enrolment.

  • For Unibuddy Chat, track data reporting across your Analytics and Insights tabs

  • For Unibuddy Assistant, track impact, overview, and student ratings under Assistant > Analytics

  • For Unibuddy Community, each Community you create has its own Analytics tracking tab. Just go to the Community tab in your University Dashboard > click the unique Community in question > click Analytics

⚠️ Moderation and safeguarding

Safeguarding is at the heart of everything we do at Unibuddy. As a University Admin, you will receive email notifications if a user or message is reported either in your Community, or on your Chat platform. (You can pick and choose which of these email notifications you receive, more on that below).

There are full reporting and blocking options across Unibuddy Chat and Community - as well as our purpose-built AI Moderation tool. We continually review and improve our safeguarding processes, ensuring everyone who engages and interacts on Unibuddy has a safe, welcoming, and inclusive experience. πŸ”” Notifications

You'll find your notification settings under the Settings tab in your University Dashboard. They are switched on by default. Toggle off or leave on the email notifications you'd like to receive. This short video explains the different notification settings.
