When you sign up to use Unibuddy - whether to chat with a student ambassador, join a community, or contact a staff ambassador - youโ€™re trusting us and your chosen university with your personal information. Hereโ€™s what you need to know about how your data is used and protected.

Who Controls My Data?

The university is the main organisation responsible for your data. They decide how itโ€™s used, and Unibuddy helps them by providing the platform.

  • The university owns your data
    โ€‹
    โ€‹

  • Unibuddy helps manage it safely
    โ€‹
    โ€‹

What Data Do You Collect?

We collect the information you give us when you sign up and use the platform, including:

  • Your name and contact details
    โ€‹
    โ€‹

  • Your profile information
    โ€‹
    โ€‹

  • Conversations you have with ambassadors or other users
    โ€‹
    โ€‹

Why Do You Need This Data?

We use your data to:

  • Help you connect with the right people (like ambassadors or staff)
    โ€‹
    โ€‹

  • Improve your experience on the platform
    โ€‹
    โ€‹

  • Ask for feedback to help improve Unibuddy
    โ€‹
    โ€‹

If you've opted in, your university might also contact you later with more information about courses, events, or opportunities.

Is My Data Safe?

Yes. Your data is stored securely, and we follow strict rules to protect it.

Unibuddy follows GDPR, a data protection law in the UK and Europe that gives you rights over your personal information.

You can:

  • Ask to see your data
    โ€‹
    โ€‹

  • Ask for it to be corrected or deleted
    โ€‹
    โ€‹

  • Choose whether or not you want to be contacted in the future
    โ€‹
    โ€‹

Do You Use AI to Summarise Conversations?

Yes, we sometimes use OpenAI (the makers of ChatGPT) to help summarise conversations - but only after we remove all personal details.

We have a strict agreement with OpenAI to make sure your data stays private and is never used to train their AI models.

How Long Do You Keep My Data?

Weโ€™ll keep your data for up to two years after your last login, in case you come back. After that, weโ€™ll delete it or make it completely anonymous so it canโ€™t be linked back to you.

Still Have Questions?

You can read our full Privacy Policy or speak to your university for more details.
