What can the university do with prospective students' data?

Ways in which a university can process the data on its prospects

The University or Institution can perform the following with prospective student data:

  • Access the profile data of prospective students to see who has signed up, and what activity they are undertaking on the platform.

  • Extract the data into an appropriate CRM system in order to track the activity of the student and analyze the effectiveness of the platform.

  • The University or Institution can also view the conversations between prospective students and Student Ambassadors via their University Dashboard.

  • If the ‘Opt In’ option for prospective students to receive further marketing has been ticked, then the University or Institution is able to send further information to the prospective student via an external platform (using the email address supplied).

The University or Institution should have its own data retention policy in place and state this clearly in its privacy agreement. Conversations between a prospective student and an ambassador can be viewed in an anonymized way in the Conversations area of their University Dashboard and can be used in order, for example, to undertake training and supervision of the Student Ambassadors.
